Abstract
SOAR DEAR SBM (Strengthening and Optimizing the Archiving of Records and Digitization Effort to Aid a more Resilient SBM) is an innovative project that aims to strengthen and optimize its SBM record-keeping system through digitization to ensure that school reports, data, and records of school programs, projects and activities are stored systematically, being kept safely and updated regularly.

This project aims to:
A. reorganize records on the given Revised SBM Tool 2 Indicators with the contextualized means of
verifications;
B. procure computers that can be permanently used in the SBM Center;
C. convert paper files to digital to ensure that important records are protected by storing them on drives and in
the cloud as backup.
D. systematically record, store and update the SBM pertinent information/records/data. store them in hard
drives and in a cloud;
E. decongest and reduce the number of papers stored in the SBM Center;
F. make information resources more accessible and easier to retrieve and use.

These goals necessitate a significant amount of planning and effort. The SBM working teams collaborated and worked tirelessly to meet this goals.

1. Organized a series of meetings to discuss the most efficient means of archiving and digitizing SBM
documents and artifacts.
2. Followed-up the solicitation letter requesting four computers which were sent to various groups of alumni
and other private organizations that were tapped to be our project's partner/s. Each SBM Principle at the
SBM Center will have their own computer in their own cubicle, allowing them to work simultaneously.
Temporarily, while waiting for the response to our solicitation letter, personal computers pf teachers were
used to continue with the digitization o documents and artifacts.
3. Each team was encouraged to gather and reorganized records in the SBM center based on given the Revised
SBM Tool 2 Indicators with the contextualized means of verifications.
4. Converted SBM records into an electronic format. Each team was given an option to either take a picture of
the document or use CamScanner (CS), an app that can be downloaded from the Play Store, while available
soft copies will just be converted to PDF and saved.
5. The four teams stored and updated the relevant SBM information in an organized way and save it in the
drive and cloud storage so that authorized people can easily access them, but the must be kept secure from
unauthorized access, loss, or damage.
6. Old files or any files beyond three years were placed in the archive room after digitizing and storing them in
drives and in clouds.
7, Finally, any new information/data have been added to or modified in the electronic record.

These activities have been completed in four months, beginning in November 2021and ending in April 2022. This project cost Php 140, 000.00 for the desktop computers which were solicited to our alumni.
