"Gsites: All Forms in One Click" UTILIZATION OF GOOGLE APPLICATIONS IN AUTOMATION AND INDIVIDUALIZED DIGITALIZED REPORT CARD DISTRIBUTION SYSTEM THE NEW NORMAL AT QUIRINO HIGH SCHOOL

Abstract
At the onset of pandemic, restrictions on regular school activities have been implemented
such as those that involve face-to-face meeting with parents and students. One activity that
became difficult due to such restrictions is the distribution of school forms. One solution to this
is to convert school forms into digital format and send them one by one to parents and students
for them to become updated of their progress every quarter which was very time consuming
for teacher-advisers. Thus, the project proponent decided to create a tool to help teachers
automate and simplify the distribution of school forms every quarter and allow the school forms
to be accessible to parents and students anytime and anywhere. The completed projcct
innovation utilized Google applications, mainly Google Sites, in automation and individualized
digitalized report card distribution system in the new normal every quarter at Quirino High
School. The project also ensured the safety of parents and teachers in the distribution of school
forms since the documents can be readily accessed online. During the First Quarter of S.Y.
2021-2022, the proponent created a trial website using Google Site where links to the different
school forms such as Digitalized Report Card (SF9), Homeroom Guidance Assessment Report,
and Digitalized Certificates can be found. All forms were secured because parents and students can only access the docum ents using the assigned DepEd email addresses. When g given a link,

parents can only view forms of their children since they are restricted from viewing hee
of other students, Only forms marked by the student's email address can be viewed using the
student's credential. Knowing that the project innovation can greatly help teachers in the
distribution of school forms during the pandemic, the proponent decided to share the innovation
through several LAC Sessions. The proponent conducted LAC Sessions to share the innovation
to potential teacher-advisers as users of the project. On January 20, 2022, the project innovation

discussed to teacher participants in the LAC Session entitled Research Flexi Year 2-
Building a Community of Practice for Research and Innovation." Another LAC Session was
conducted on February 11, 2022 to Grade 7 advisers to review and demonstrate the use of
Google Sites for the distribution of school forms. A group chat was also created to easily
address the concerns of advisers in using the site. In March 2022, the project was utilized by
nine advisers in the distribution of school forms for the Second Quarter Parent-Teacher
Conference. Their designed advisory website for school forms was also used for the
distribution of report card for the Third Quarter Period in May 2022. It was a zero-investment
innovation on the part of teacher-advisers since everything was done and stored online. The
cost for connectivity was not a problem because teachers were provided with internet
communication allowance amounting to Php 300 – Php 1000 by the local and national

government.
